JOB PURPOSE STATEMENT

With specific emphasis on the recruitment of the right people to deliver exceptional Guest experiences, managing the subsequent learning and development of our team and thus creating meaningful opportunities for all of our Team Members we ensure that our team are happy in what they do and bring the Hilton Values to life in their interactions with guests and other team members. Working with other departments, we ensure that our team are rewarded and recognized for displaying those same values in their work. RESPONSIBILITIES

Recruitment

Partner with Department Heads to source the right people for each position, ensuring that we recruit individuals who can deliver exceptional hospitality to our guests, by:

  • Being responsible for coordinating the recruitment & selection function for Hilton Auckland. This includes Taleo compliance and maintenance.
  • Ensuring that our job adverts are exciting, innovative and branded to attract the right candidates
  • Working in conjunction with the HR Administrator to ensure all aspects of the recruitment and selection process are completed.
  • Coach and provide assistance to managers on the use of Taleo when necessary.
  • Develop and update job descriptions when necessary.
  • Develop interview questions and design innovative recruitment strategies in line with hotel needs when necessary.
  • Oversee the advertising function for vacant positions. Ensure the Hilton Auckland job vacancies are advertised in a dynamic and fresh manner.
  • Overseeing the “clean up” of the candidate management system, ensuring that managers are also declining candidates in a timely manner.
  • Coordinate Collage/School Recruitment Days, always promoting Hilton as a Great Place to Work
  • Automating, wherever possible, our systems to make the best use of our time so that we focus on adding value rather than administration.
  • Conduct exit interviews for departing team members. Identify trends and subsequent strategies to address areas of concern.

Onboarding

Once a team member has been selected, ensure that they are introduced to the company in a hospitable and welcoming manner, in the same way that we expect our team to interact with our guests, by:

  • Calling and offering the position in a friendly way, using the Hilton values in our interaction with the future team member.
  • Producing employment salaried contracts and transfer / promotion letters if required in a timely manner, using (where possible) the onboarding system for consistency
  • Completing the necessary mandatory checks – Police Clearance, Visa etc.
  • Being fully prepared so that the First Day Welcome runs smoothly and that new Team Member understand the Vision of the company and the importance of hospitality
  • Ensure that Team Members are enrolled in Affinity so that their pay is correct from Day 1 and that they feel valued and supported from the start
  • Ensure the 120 Day Journey is mapped and tracked appropriately
  • Overseeing the immigration process of all team members with visas, ensuring visa status is monitored and support documentation supplied appropriately and timely.

Learning and Development

From the start our Team Members should feel that Hilton opens doors and creates meaningful opportunities for all of its team by:

  • Overseeing the implementation and planning of training, in line with brand standards and audit requirements
  • Ensuring that all training to be completed during the first 120 Day Journey, including Hilton University, is monitored effectively and administered accordingly
  • Ensuring the administration of training (e.g. training matrix) is update to date and compliant with Hilton brand standards and Quality Audit
  • Facilitate New Team Member Orientation, ensuring that all of our Team understand the importance of the Vision, Mission and culture of the company
  • Being aware of, and alerting the HR Director to any possible deficiencies in the comprehension of training by any new Team Member.
  • Talking to Team Members about opportunities, their careers and possibilities within the company either on a formal or informal basis

Rewards and Recognition

Liaise and work with our various departments and managers to ensure that our team are recognized and rewarded for living the Hilton values and creating memorable moments for our guests by:

  • Overseeing the administration and coordination of our various recognition programs, e.g. Catch Me At My Best, Team Member of The Month etc.
  • Being an active member of the Blue Energy Committee and post on H360
  • Coming up with innovative and new ways to recognize our team, being aware that not everyone is the same
  • Coordinating recognition presentations to our Team Members so that they are recognized in a timely fashion
  • Assisting with the promotion of Hilton Benefits such as the GoHilton program to help promote Hilton as the employer of choice

HR Management

We offer support and knowledge to our various stakeholders, allowing them to be more effective and productive by:

  • Assisting with the coordination and completion of all HR reporting requirements including the HR regional monthly reports, owner’s reports, ACC reports and any others as required.
  • Working with HR Director in preparation and management of the annual HR plan and HR budgets, determining areas of focus and allocation of expenditures accordingly.
  • Coordinating the Performance Development Review process in the hotel and the subsequent Performance Development Plans for high potential employees, in coordination with the HR Director.
  • Assisting with Team Member coaching and counselling when required ensuring all team members are able to discuss their grievance with the Human Resource team. Act as an impartial coach and mentor as per Hilton Grievance guidelines.
  • Providing guidance and support to the leadership team during Disciplinary Performance process ensuring discussions are non-biased and are complaint with relevant legal guidelines.
  • Providing advice to Team Members and Managers on the interpretation of policies, procedures and employment legislation when required.
  • Along with Director of HR, driving HR strategies, and completing designated HR projects ensuring Hilton brand standards are met.
  • Developing and maintain communication with all levels within the Hilton Auckland team, ensuring HR visibility in operational areas to provide support where necessary.
  • Maintaining an excellent overall knowledge of legislation in areas of ACC, Employment Relations and Health & Safety regulations etc.
  • Ensuring adherence to Privacy Act requirements in respect to Team Member files and any printed material produced through the HR office.
  • Ensuring all policies and guidelines as outlined in the Global Standards and hotel HR guidelines list are managed and followed.
  • Monitoring and promoting positive team engagement across all areas in the hotel to ensure annual Global Team Member Survey targets are achieved.
  • Manage Team Member Immigration nominations, business compliance, and all visa related information, in coordination with the HR Director.
  • Assist in the organization and coordination of all Team celebrations as necessary.
  • Ensuring payroll data is captured and entered timely and accurately.

Legislative Requirements and Reporting

We ensure a fair, safe and productive working environment for our team, through the management of our various committees and adherence to numerous legislative requirements by:

  • Administrating and processing of all new ACC Claims in line with the legislation, creating appropriate Return To Work plans for Team Members and looking for patterns or repeated claims, evolving strategies to combat
  • Maintaining a safe workplace and encouraging our team to do the same
  • Maintaining visa checks to ensure that all our team have the right to work in Australia
  • Completing month-end and annual HR reports as required
  • Ensuring that our Diversity programs allow fairness for all
  • Ensuring Quality Audit Compliance

What are we looking for?

  • Ideally a minimum of three years in HR working within a variety of functions
  • Proven ability to establish strong, influential relationships with all levels in and organization
  • Demonstrated ability to think strategically, synthesize complex data, and develop solutions
  • Proven ability to effectively and clearly convey ideas verbally and in writing
  • Solid experience in organization design, talent management and change strategies
  • Proven ability to provide attention to detail and organizational skills

It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:

  • Relevant experience working within a hospitality organisation
  • Relevant Operational experience (managing an operation and providing HR partnership skills at an operational level)
  • Experience working with or doing business in the assigned region with a global company
